Can tote bags for events in Amsterdam be delivered to the venue?
Yes, we deliver custom-printed tote bags to a hotel, office, shop, or event venue in Amsterdam and anywhere else in the Netherlands.
Many of the people who order are not in the city themselves. They sit in a head office in Stockholm, London or Denver and plan a conference, a team week or a client dinner from a distance.
That is fine. Your billing address can be in any country, and the delivery address is simply the place in Amsterdam where the bags are needed.
Our page on custom printed tote bags delivered to the Netherlands gives the general answers, and this post is about the event itself. If an agency plans the event for you, the page for event agencies explains how they can order on your behalf.
The tote bags travel to Amsterdam on their own, and you do not have to carry them in a suitcase.
What did a real order of tote bags for an event in Amsterdam look like?
It was 75 light blue tote bags, ordered on our website by an event manager in the United States.
She placed the order at the end of September and wrote to us the same day with one question: could the bags arrive by 12 October? I checked the date with production before I confirmed it.
On 1 October I sent her the digital proof with her logo on the light blue bag. She approved it a little over an hour later, and that speed made the date possible.
The bags left our print house on 7 October, addressed to her by name at her hotel in Amsterdam.
That is quicker than our typical 10 to 15 working days, and it worked because the date was checked first and the proof was approved at once. Please do not plan on it.
A fast yes from you is the part of the timeline that you control.
38 × 42 cm. A calm, fresh colour that suits a white or navy logo.
Which tote bags suit which kind of event in Amsterdam?
The right bag depends on how many guests you expect and what they will carry.
Here is a simple overview:
| Event | Bag | Why |
|---|---|---|
| Conference or congress | Classic cotton tote, 140 g/m², 38 × 42 cm | Light, fits a programme, a notebook and a laptop, and keeps the price low for hundreds of guests |
| Trade show stand | Classic cotton tote in your brand colour | Visitors carry it through the hall, and the colour is seen from far away |
| Team week or company offsite | Light blue or another coloured tote, 140 g/m² | A small batch from 25 pieces, in a colour that feels like a gift |
| Speakers, partners and VIP guests | Heavyweight tote with gussets, 340 g/m² | Thick cotton that stands up to books and a bottle, a bag people keep |
For most conferences in Amsterdam, the classic 140 g/m² cotton tote bag is the usual answer. It measures 38 × 42 cm, has 67 cm handles, holds 10 litres and comes in 48 colours.
Our page on custom printed bags for events and conferences shows more options, and the guide to choosing bags for conferences and trade shows compares them side by side.
Choose by what goes into the bag, and the rest follows.
38 × 42 cm, 10 litres, 67 cm handles. Light, fits A4 papers and suits almost any logo.
How many event tote bags should you order?
Order one bag per registered guest, plus about ten percent.
Guests bring colleagues, speakers ask for a second bag, and the organising team needs bags too. Leftover bags are useful at the next event if you leave the date off the print.
Then look at the next price step before you check out. On the light blue bag, 75 pieces cost €353.25 at today's prices, and 100 pieces cost €317.00.
Yes, 100 bags can cost less than 75.
The price per bag drops at set quantities such as 50, 100 and 200 pieces, so a slightly larger order is sometimes the cheaper one. For a stand at a fair, the counting works differently, and I explained it in how many tote bags you need for a trade fair stand.
Count your guests, add a few, and check the next price step.
What do tote bags for an event in Amsterdam cost?
Between about €2 and €9 per bag, depending on the bag, the quantity and the number of print colours.
Here are today's prices per bag with a one-colour print on one side, excluding VAT and with delivery to the Netherlands included:
| Bag | 25 pcs | 50 pcs | 100 pcs | 200 pcs | 500 pcs |
|---|---|---|---|---|---|
| Natural White classic tote, 140 g/m² | €5.15 | €5.15 | €3.55 | €2.77 | €2.23 |
| Orange classic tote, 140 g/m² | €5.47 | €5.47 | €3.87 | €3.09 | €2.48 |
| Light Blue tote, 140 g/m² | €8.04 | €4.71 | €3.17 | €2.58 | €2.06 |
| Natural heavyweight tote with gussets, 340 g/m² | €9.02 | €5.69 | €4.26 | €3.67 | €3.24 |
Dutch VAT of 21% is added at checkout, which is the general rate in the Netherlands according to the Dutch government's business portal.
So 100 light blue bags cost €317.00 before VAT and €383.57 with Dutch VAT. 200 Natural White classic totes cost €554.00 before VAT and €670.34 with it.
A company with a valid Dutch VAT number can enter it at checkout, and the VAT is then normally 0% under the EU reverse charge rule. Our guide to EU VAT for bag orders explains the details.
Every extra print colour adds to the price. At 100 pieces, the light blue bag costs €3.17 with one print colour, €3.80 with two and €5.79 with a full-colour print.
The quantity changes the price more than anything else.
Which colour works for event tote bags in Amsterdam?
Your brand colour comes first, and after that it is worth thinking about the city.
Orange is the Dutch national colour, and on King's Day, 27 April, the whole of Amsterdam wears it. An orange bag with a white logo is a friendly nod to the host country at a kick-off or a spring event.
Light blue is calmer. It looks fresh in photos, and it was the choice for the order I described above.
Most of the orders placed on our website this September were for coloured bags, not natural ones. A coloured classic tote costs about €0.30 more per bag than the natural white one, so the colour is a small part of the price.
You find all the shades in the classic cotton tote collection, and our guide to choosing print colours for tote bags shows which print colours stay clear on which bag colours.
One bag colour and one print colour are usually all an event needs.
38 × 42 cm, 10 litres, 67 cm handles. The national colour of the Netherlands, strong with a white print.
What fits into a conference tote bag?
A tote bag of 38 × 42 cm fits a programme, a notebook, A4 papers and a slim laptop with room to spare.
The picture below shows the bag next to A4 paper, a 13-inch laptop and a 1.5 litre bottle.
For a one-day conference, 140 g/m² cotton is enough. Fabric weight is given in g/m², which means grams per square metre, and our guide to cotton bag weights compares the common weights.
Speakers and partners often leave with books, a bottle and a gift, so a heavier bag with gussets is the better choice for them. A gusset is the extra strip of fabric at the sides and the bottom that gives the bag depth.
A company in Groningen, for example, ordered 25 heavyweight 340 g/m² bags from us, which is the smallest order we make.
A light bag is for the many, and a heavy bag is for the few.
38 × 42 cm with side and bottom gussets. Thick cotton that stands up to books and a bottle.
What goes into welcome bags for an event in Amsterdam?
Less than you think, because guests remember a light bag with a few useful things better than a heavy one full of flyers.
These items work at almost any conference or company event:
- The programme and a city map. Printed on one sheet, or as a QR code on a card.
- A notebook and a pen. They are used on the first morning.
- A refillable water bottle. Amsterdam's tap water is good to drink.
- Something local. A pack of stroopwafels is a small Dutch welcome that everybody understands.
- A rain poncho. The weather in Amsterdam changes quickly, in every season.
Pack the bags the evening before, in one room, with a few colleagues. It goes faster than you expect, and you see at once if something is missing.
We print and deliver the bags, and the filling is yours to choose.
A welcome bag is finished when a guest can pick it up with one hand.
How does delivery to a hotel or venue in Amsterdam work?
A courier brings your tote bags to the address in Amsterdam that you give at checkout, so the address has to be complete and a person has to be named.
These four details prevent most problems:
- A named recipient. A hotel or venue often refuses boxes that are addressed to nobody in particular.
- The name of the hotel or venue. Write it on its own address line, next to the street and the postal code.
- A phone number. The courier uses it if nobody is at the door.
- A yes from the venue. Ask in writing whether they accept parcels before the event and where they store them.
Large venues have their own rules. RAI Amsterdam, the city's big convention centre, has its own logistics page for exhibitors, with a logistics centre for goods and time slots for unloading.
If the rules of your venue look complicated, send the bags to your hotel or to a local office and take them over yourself. Our guide to ordering across borders with delivery to a hotel, office or venue goes through the address step by step.
When the tracking code arrives, forward it to the person who will receive the boxes.
The courier can only hand the boxes to somebody who is expecting them.
When should you order tote bags for an event in Amsterdam?
About four weeks before the day the bags are needed.
Production and delivery typically take 10 to 15 working days from the day you approve the artwork. The clock starts with your approval of the digital proof, not with the order itself.
If you have a fixed date, write it in the box in the cart that asks when you need your bags.
Time zones matter too. If you sit in New York or Singapore, look for the proof in your inbox on the day after you order, because every day the proof waits is a day lost.
If the date is closer than four weeks, contact us before you order, and read our guide to rush orders.
Plan for your tote bags to arrive in Amsterdam a few days before the first guest does.
Can a company outside the Netherlands order and pay?
Yes, and many of our event orders come from companies whose office is in another country.
You pay online by card, in euros. The billing address can be anywhere in the world, while the delivery address must be in the EU.
Because the bags are printed in the EU and delivered within the EU, there is no customs clearance and no import duty. That is the main difference to sending a box of bags from the United States or the United Kingdom to the Netherlands.
American companies find the details on our page for US companies ordering for delivery in Europe, and companies outside the EU in general in our list of things to check first. If your head office orders for several countries, see the page for head offices.
Amsterdam is one of many cities we deliver tote bags to, and our post on where we deliver in Europe lists the others.
You stay at your desk, and the bags are printed and delivered inside the EU.
How do you order tote bags for an event in Amsterdam?
You order on the product page and pay online, without asking for a quote first.
- Choose the bag, the colour and the quantity. The price per bag updates as you change the number.
- Choose the number of print colours. One colour, up to five colours, or full colour.
- Upload your logo. A PDF, AI or EPS file is best.
- Enter the delivery address in Amsterdam. Add the name of the recipient, the name of the hotel or venue and a phone number.
- Write your event date in the cart. It tells us when the bags must arrive.
- Approve the digital proof. We print only after your approval.
Screen printing suits logos in one to five solid colours, and full-colour digital transfer printing (DTF) suits photos and logos with many shades.
The minimum is 25 bags per design for the bags in this guide, and payment is made in full before production starts.
A logo file, an address and a date are all it takes.
